Crafted Moments Event’s Organizer A. On-the-day Coordination: This service begins 1 to 2 months before the wedding. We can refer suppliers for those not yet booked by the couple. Unlimited consultations via call and e-mail which will start upon the confirmation of the couple of the contracted service. Crafted Moment will make sure that everything will run smoothly on the day of the wedding. 1 to 2 months before the wedding: - Unlimited consultation via sms, calls and e-mails. - 3 to 4 personal meetings to be conducted 1 to 2 months before the wedding, including wedding rehearsal if there is any. - Couples should submit the following to Crafted Moments at least 1 month before the wedding or before the last meeting: • Supplier‘s information such as name of the supplier, contact person and contact number. • Photocopy of supplier’s contracts already booked by the couple. • Name and contact numbers of the members of the entourage and those people with special task in the wedding ceremony (lectors, commentator, psalmist, singers, choir or band) • Reception layout including the seating arrangement of parents, family members, sponsors, entourage and guests. • Misallete • List of songs for both wedding ceremony and reception program. • Any special arrangement and turn over items. - Check supplier’s contracts so details will be executed in the wedding day. - Provide sample program flow and suggest wedding program inputs. - Provide checklist/ to do list for the couple. - Ocular visit the ceremony and reception venue - Handle balance payments to the suppliers on the wedding day. - Couple must submit the final guest list 1 week before the wedding day (alphabetically arranged or per table) - 3 locations of coordination: • Bridal Suite • Church • Reception On the Wedding Day: - Will be at the bridal suite at least 3 hours before the wedding. - Will ensure that make-up artist, photographer and videographer, delivery of flowers will arrive on time for the pictorial. - Assist the bride/groom when dressing up and during pictorials including arranging of gown of the bride and all accessories for the photo shoot. - Check all the accessories and supplies needed: • Flowers • Misalletes • Souvenirs/Tokens • Guest book / signature frame - Assist/manage the food distribution for other suppliers. - Transport of wedding materials to the church and reception area such as: • Rings • Veil • Coins / Arrhae • Cord • Bible • Candles • Matches • Pillow At the Ceremony - Assist in formation for the processional march if there is no church/venue coordinator. - Assist in the distribution of the flowers of the entourage, misalettes and other wedding accessories. - Ensure the arrival of priest, readers, commentators, offertory and choir/musicians/singers. - Assist entourage, primary sponsors, parents and musicians in their seating arrangements. - Assist in contract signing if necessary. - Assist during the pictorial and recessional march - Safekeeping of all wedding accessories after the ceremony. - Ensure that special arrangement will be followed such as non-liturgical songs to be sung at the ceremony and if the flowers will be transported to the reception after the ceremony.
